  3. Studio visit

    Member QR attendance

  4. Member activity

    Membership, package and payment context

Explanatory view. Features follow your selected plan and gym settings.

A studio day starts with a schedule. It needs the rest of the business, too.

A booking brings a member, a class, a trainer and an available place together. Add memberships, packages, attendance, enquiries and payments, and there is more to coordinate than the timetable alone. Keep that information connected as the day moves.

  • Which sessions have places available?
  • Who is booked, and who is waiting?
  • Which packages are approaching expiry?
  • Has a session time changed?
  • Which dues or enquiries need attention?

Keep the member connected to every part of the studio.

Open one member record for the context around the next visit. Review their membership, previous terms and activity alongside the services they use.

  • Profile, documents and progress
  • Membership, Valid Till and renewal history
  • Attendance, bookings and personal training
  • Payment records, invoices and relevant notifications
  • Applicable membership pauses and expiry information

Keep one clear class schedule.

Maintain the class name, date, time, trainer and session status alongside its capacity, bookings and waitlist. Give reception and trainers the same place to check the next session.

Classes & personal training: Growth and Pro

The session

Keep the date, time and trainer with the class.

The places

Review capacity, confirmed bookings and remaining availability.

The activity

Keep member bookings and the relevant waitlist in context.

Give each booking a clear place in the day.

Members can book the classes available to them through the supported booking experience. The booking stays with the member and the class session.

  1. Choose a class

    Review an available session.

  2. Check what is available

Use the classes and places the member is eligible to book.

  3. Confirm the booking

Keep the booking with the member and session.

  4. Review the activity

See the booking and remaining availability in the relevant experience.

Keep demand organised when a class fills up.

Use the supported waitlist when a session reaches capacity. If a place becomes available, follow the class workflow to update the relevant booking. Waitlist communications can keep members informed where enabled.

  • See full sessions and waiting members
  • Keep the waiting list with the class
  • Review changes to places and bookings
  • Use the waitlist updates available to your studio

Keep the session and its members up to date.

Update or cancel the relevant session when plans change. Affected booking information and enabled communications help the team and members follow the actual change.

Schedule changes

Keep the updated time and session details in one place.

Cancellations

Use the supported cancellation workflow for the affected session.

Upcoming reminders

Class-booking reminders are available where enabled. Their timing follows your studio’s settings.

Record studio visits with a QR scan.

Members sign in and scan the studio’s QR code to record a visit. Keep visit history with the member alongside their class and training activity.

  • Member QR check-in
  • Connected attendance history
  • No GPS requirement
  • No fingerprint or facial-recognition equipment required

Keep group classes and one-to-one training organised.

Use class and PT packages with their applicable validity, expiry and session information. Keep personal training sessions with the relevant member and trainer while class bookings remain a separate workflow.

Classes & personal training: Growth and Pro

Class packages

Review the package, relevant class access and expiry.

Personal training

Keep PT sessions, trainer information and packages connected.

Expiry notices

Where enabled, package notices can help members keep track of approaching or expired packages.

Keep recorded payments and outstanding dues visible.

Your team manually records member payments, including part payments, and keeps the relevant invoices and history with the member. Review Overdue, Due Today, Upcoming and Partial Due information together.

  • The Member Portal does not process online member payments.
  • Online checkout and member payment links are not part of this workflow.

Give the next enquiry a useful follow-up.

Someone asking about classes, membership, packages, PT, prices or the timetable may need more than one conversation. Keep their lead record, source, stage and next follow-up together, then continue into the member relationship when they join.

Leads & sales: Growth and Pro

Keep training responsibilities clear.

Give Owners, Managers, Trainers and Accountants their own accounts and the tools appropriate to their work. Trainers can use the member, class and PT information available to their role.

Owner
Review the business and team responsibilities.
Manager
Coordinate the studio’s daily work.
Trainer
Work with relevant members, classes and PT sessions.
Accountant
Review the financial records available to the role.

Give members their own studio connection.

When your studio enables Member Portal access, members can use the information and services made available to them. Access is not automatically enabled for every member.

  • Membership and attendance
  • Available classes and bookings
  • Personal training and progress
  • Payment records and invoices
  • Relevant notifications

Give the owner a clearer view of the studio day.

  • Approaching membership expiry
  • Overdue and upcoming dues
  • Class bookings, capacity and availability
  • Leads requiring follow-up
  • Attendance and relevant training activity

A connected foundation for different studio models.

Organise memberships, sessions and visits.

Personal training studios

Keep PT sessions and package information structured.

Boutique studios

Connect members, payments, staff and the timetable.

Check the fit for your studio’s requirements.

KRYOON focuses on studio operations. Member payments are recorded manually, and QR attendance does not provide biometric, RFID or physical door control. Use dedicated software for full accounting and HR/payroll administration; the staff payout records available in a plan remain separate from those services.

  • Members book directly with your studio; KRYOON does not list classes or trainers on a public marketplace.
  • Class booking and package rules follow the available workflows.
  • Review your workforce scheduling and capacity requirements with the team before choosing a setup.

Keep the studio member’s journey connected.

A member may begin with a question and go on to use several services. Keep the relevant information with the same relationship.

  1. Enquiry and follow-up

  2. Member joins

  3. Membership or package

  4. Class booking

  5. Studio visit

  6. Personal training

  7. Payment recorded

  8. Renewal

An explanatory journey. Classes, PT and Leads follow the selected plan; your studio chooses the workflows it uses.

Give the team one place to coordinate the day.

Separate calendars and message threads make it harder to know which details are current. Keep the timetable and the member information together.

  • Members in a spreadsheet
  • A separate class calendar
  • Bookings in messages
  • Waitlists on paper
  • Payments in a register

  • Bookings with the member
  • A supported waitlist workflow
  • Payments and dues organised
  • PT activity connected
  • Structured lead follow-ups
