Keep personal training with the member, beyond a trainer’s notebook.

A good training relationship carries detail: the next session, the trainer involved, the package and its expiry. Give the gym a clear record to return to when shifts change or a member asks a question.

  • Who has a PT session coming up?
  • Which trainer is involved?
  • What package does the member have?
  • When does that package expire?
  • What does the team need for the next session?

Keep each session organised around the people involved.

Review the member, relevant trainer, date, time, applicable package and session activity together. Owners and Managers can keep PT in the wider gym picture while trainers work with the information available to their role.

Classes & personal training: Growth and Pro

The member

Keep the session with the person receiving training.

The trainer

Keep responsibility and relevant training information clear.

The session

Review the scheduled date, time and activity.

The package

Keep applicable package validity and expiry close.

Make the next session clear.

Create a PT session through the supported workflow. Where enabled, a scheduled-session notification helps the member follow the arrangement.

  1. Choose the member

Start with the relevant member record.

  2. Review the package

Check the PT information that applies.

  3. Arrange the session

Keep the trainer and scheduled time together.

  4. Keep the member informed

Use the scheduled-session notice where enabled.

Keep packages with the member’s training activity.

Review the package, applicable sessions, validity and expiry alongside PT activity. Keep an approaching expiry visible before making the next arrangement.

  • Applicable package and session information
  • Package validity and expiry
  • Related PT session activity
  • Package expiry reminders and notices, where enabled

Keep training inside the wider member relationship.

Read PT activity alongside the member’s profile, membership, attendance, payment records, invoices, progress and documents. Keep the context available to the people responsible for helping them.

A membership and a PT package have different dates.

A member can have an active gym membership while their PT package is approaching expiry. Keep both services and their applicable validity clear when discussing the next step.

Gym membership

Review the membership term, Valid Till and renewal history.

PT package

Review the personal training package, relevant sessions and expiry.

Give members a view of their PT activity.

When your gym enables Member Portal access and the relevant features, members can review the PT information available to them alongside their wider gym activity. Access is not automatically enabled for every member.

  • Relevant PT sessions
  • Membership and visit history
  • Progress and available training information
  • Payment records and invoices
  • Enabled notifications

Keep payment records with the member.

Staff manually record member payments, invoices and dues. Review overdue, upcoming and remaining amounts after a part payment alongside the payment history.

  • The Member Portal does not process online member payments.
  • Member checkout and payment links are not included in this workflow.

Give trainers the information for their part of the work.

Trainers use individual accounts with the member and training tools available to their role. Clear session and package records help another authorised colleague pick up the work when responsibilities change.

  • Relevant member and training information
  • PT sessions and related class activity
  • Clear trainer responsibilities
  • Continuity when shifts or trainers change

A gym visit and a PT session are separate records.

Members use QR check-in to record a gym visit. That visit can provide useful context alongside PT activity, but it does not confirm that a particular PT session was completed.

Offer group classes and personal training in the same wider system.

Keep the two services clear while connecting them to the same member.

Classes & personal training: Growth and Pro

Group classes

Organise schedules, bookings, capacity and waitlists.

Personal training

Organise PT sessions, relevant trainers, packages and expiry.

Review the training activity available to your gym.

Use the relevant PT and package records to understand the work around your members. Review the reports and activity included in your plan, without maintaining a separate reporting sheet for every trainer.

Keep the PT workflow focused on sessions and packages.

PT session management does not automatically calculate a trainer’s salary, commission or tax deductions. Staff payroll and payout records available in a plan are separate from the PT workflow; full payroll administration needs dedicated software.

  • PT session records do not calculate trainer commissions or profitability.
  • Use a dedicated service for trainer staffing schedules or marketplace listings.
  • Workout and nutrition plans are not automatically generated, and biometric assessments are not included.

Useful wherever personal training is part of the gym day.

Keep the session, package and member together as the training service develops.

Independent gyms with PT

Manage membership and training in the same wider platform.

Personal training studios

Keep client sessions and package information structured.

Fitness studios

Organise group classes and one-to-one training together.

Growing teams

Keep the training record useful as responsibilities change.

Give the team something clear to return to beyond individual calendars and conversations.
